Five Organization Tips for Business Success
Nov 01, 2020Let’s face it. Nobody wants to deal with keeping a business organized. Not because we prefer a mess, but because we have so many other things to do! Does this sound familiar? It’s difficult to make organization a priority when everything else needs to be done.
But maybe it SHOULD be a priority?
Being in business for over twenty years, I see the bigger picture when it comes to organization. And if anything, there are far more benefits to being and staying organized than not. In fact, organization is the key to running a business properly.
And it’s something I wished I’d done sooner!
As the new year approaches, I want to lend you five organizational tips that have helped me become a better business owner that can now help you and your business for years to come.
Organize your files and paperwork:
This one is a biggie. While a lot of sources we use are online, a great deal of businesses still need paper to make them run! From taxes, to invoicing, to bills and bookkeeping, there is still a lot of paperwork. Get files, get cabinets, and label folders. All of the old-school techniques are techniques for a reason! If you know where each piece of paper is filed away, your place is not only spotless but you have peace of mind. A place for everything and everything in its place.
Organize your computer
Now for the digital side of filing, this is a tough one. We are bombarded by emails, texts, and apps all the time! Here’s the secret: read through and delete or file emails as quickly as they come in. While you can’t do this all the time, the goal is to stay on top of them. Delete files you don’t use. Delete apps you don’t use. Unsubscribe from all those email “lists” you thought you wanted (and never look at!) That alone will cut down on the email. Make new folders, create new shortcuts to websites you use frequently. Also, make sure you have antivirus software! Losing your data can be devastating. This also plays into making sure all your devices are synced with the cloud. That way, if a device dies, you have an alternate way to retrieve the data you need.
Use a calendar
This one seems easy, but the truth is, many of us think we can “remember” what we need to remember at any given moment. This couldn’t be further from the truth! I can’t remember what I needed to do yesterday let alone what this week needs from me. Use a calendar. Some people use two calendars. By using an actual paper calendar to write out important dates alongside a digital one (a calendar app) that goes with you, like on your phone, you’ll always be organized. Write in what you have to do hourly, daily, weekly and monthly. Seeing it in front of you makes your life a whole lot easier when you’re not relying on your brain to remember it!
Make a to-do list
This one also seems very old school. But, as I mentioned before, it’s old school for a reason. It works! Every day, write out a list of the things you have to do, and things you should do. Organize them into prioritization. And if you’re feeling extra organized, I’d recommend writing out tomorrow’s to-do list the night before. Yep. This gives your brain a chance to get out what needs to be done, and then actually rest before the next day because it’s already written out!
Organize your time
This one is vital. It allows you to mentally free yourself from feeling like your job is restricting you. Start off with doing the most mundane tasks while you have a little free time. Then focus your work in hour-long chunks. Don’t allow interruptions, turn off notifications to your apps -- whatever it takes to stay “in the zone.” Our brains have trouble refocusing once we’ve been interrupted, so keep those to a minimum! Then, take breaks. This is a must, too. We need to relax so we are recharged when we return to work.
All of these tips may all seem like little things, but they add up to big things -- and BIG problems-- if we don’t stay on top of them.
